CalendarMate privacy policy
CalendarMate ('the app') is published by VIP Tech, Dublin, Ireland ('we', 'us'). This policy explains what data the app stores, why, and your choices.
1. Using CalendarMate without an account
Your tasks and bookings, including any customer names, phone numbers, addresses, notes and photos, are stored only on your device. Nothing is uploaded.
2. Signing in
If you sign in with Google or Microsoft, we receive your name and email address through Google Firebase Authentication. This is used to create your account and show your name to your team.
3. Business teams
If you create or join a business, the tasks and bookings in that business – including customer details and photos you add – are stored in Google Cloud Firestore and Firebase Storage (EU where possible) so your team members can see them. Workers only see jobs assigned to them. Owners and managers see all jobs in their business.
4. Phone contacts
If you pick a customer from your contacts, the app opens your phone's contact picker; only the contact you choose is saved to the booking.
5. Google Calendar and Outlook
If you connect a calendar, CalendarMate uses Google Calendar or Microsoft Outlook (Microsoft Graph) to add your bookings to your calendar, to show and edit your own events inside the app, and to remove bookings from CalendarMate that you deleted in your calendar. To keep your calendar up to date automatically, a secure access key for your calendar is stored on our server (Google Cloud), readable only by CalendarMate's server and never by other users. Your own calendar events are only read to show them to you; they are not saved in our database or shared with your team. You can disconnect at any time in the app, or remove CalendarMate's access in your Google or Microsoft account. CalendarMate's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
6. Payments
CalendarMate Pro (7-day free trial, then a monthly subscription) is processed by Google Play Billing. We only store whether your subscription is active. We never see or store your payment details. Manage or cancel subscriptions in the Google Play app under Payments & subscriptions.
7. Analytics and advertising
The app contains no ads and no third-party analytics or tracking SDKs.
8. Who we share data with
We do not sell or rent your data. It is processed only by Google (Firebase Authentication, Firestore, Storage, Cloud Functions, Google Calendar, Google Play Billing) and, if you connect Outlook, Microsoft, to run the features you use. All data is encrypted in transit.
9. Permissions
Internet is used for sign-in, teams and calendar sync. Notifications show reminders you set. The app may start when your phone restarts so reminders keep working. Camera and photos are used only when you add a photo to a job.
10. Keeping and deleting your data
Your data is kept until you delete it. Delete tasks and bookings in the app, leave the business in the Team tab, or uninstall the app to remove data from your device. To delete your account and all data stored online, follow the steps on Delete your CalendarMate account.
11. Children
The app is not directed at children under 16 and we do not knowingly collect data from them.
12. Changes
We may update this policy; the date at the top shows the latest version.
