InvoiceMate privacy policy
InvoiceMate ('the app') is published by VIP Tech, Dublin, Ireland ('we', 'us'). This policy explains what data the app stores, why, and your choices.
1. Your account
You can sign in with your Google account, create an account with an email address and password, or use the app without an account (data then stays linked to your device). Accounts are managed with Google Firebase Authentication: we store your email address (and name and profile picture if you use Google sign-in) and a securely hashed password that we never see. We only email you to confirm your address or reset your password.
2. What the app stores
- Your business details for each business you add: name, address, phone, email, the Gmail account you send from, VAT number, IBAN, logo and invoice layout.
- Your clients' names, email addresses, phone numbers and addresses that you type in or import from your phone contacts.
- Your invoices, their items and amounts, their status and activity (sent, opened, reminders, paid) and photos of paper invoices you choose to attach.
- A device token so we can send you notifications, such as when a client opens an invoice.
This data is stored with Google Firebase (Google Cloud), in the EU where possible, and is encrypted in transit. It is used only to provide the app: creating and sending invoices, telling you when a client opens one, sending the payment reminders you switch on, and showing your statistics. We do not sell your data and the app contains no ads or tracking SDKs.
3. Online invoice links
When you send an invoice with a link, a copy of that invoice is viewable by anyone who has the link. When the link is opened we record the time so we can notify you. We do not collect information about the person who opens it.
4. Sending invoices
Emails, WhatsApp and SMS messages are sent by the apps on your phone (for example Gmail or WhatsApp) using your own accounts. InvoiceMate only prepares the message. Pro automatic reminders are emailed from our server on your behalf, with your business email as the reply address.
5. Phone contacts
If you choose to import a client from your contacts, the app reads your contact list only to show it to you; only the contact you pick is saved.
6. Google Drive backup
If you turn on weekly backup (Pro), the app saves a backup file to a folder called 'InvoiceMate backups' in your own Google Drive. The app can only see files it created there.
7. Payments
InvoiceMate Pro (7-day free trial, then a monthly subscription) is processed by Google Play Billing. We never see or store your payment details. Manage or cancel subscriptions in the Google Play app under Payments & subscriptions.
8. Who we share data with
We do not sell or rent your data. It is processed only by Google (Firebase Authentication, Firestore, Cloud Functions, Cloud Messaging, Google Play Billing and, if you enable backup, Google Drive) to run the features you use.
9. Keeping and deleting your data
Your data is kept until you delete it. You can edit, export (Backup & data → Export) or delete clients and invoices at any time. To delete everything: Business tab → Delete account, or follow the steps on Delete your InvoiceMate account.
10. Children
The app is not directed at children under 16 and we do not knowingly collect data from them.
11. Changes
We may update this policy; the date at the top shows the latest version.
